When Title Companies, Lenders, and Attorneys are vetting notaries or deciding on which signing services to work with, I recommend ensuring they partner with reliable, professional, and equipped notaries. 

1. Verification of Credentials:

  • Ensure the notary has a current commission and check for any disciplinary actions against them. Notaries should also be insured with Errors and Omissions (E&O) insurance to protect against potential mistakes and provide you with a background.

2. Experience and Specialization:

  • Look for notaries or signing services with experience specific to the type of documents or transactions involved, such as real estate closings Residential and/or commercial, loan documents, or other legal papers. Specialization can greatly enhance the accuracy and efficiency of the process.

3. Training and Certification:

  • Prioritize notaries who have undergone formal training and hold certifications, especially in states where this is not mandated. Notary Signing Agent (NSA)/Notary Closer’s certifications from recognized organizations can be a strong indicator of a notary’s commitment to their profession.

4. Technology Proficiency:

  • With the rise of IPEN and Remote Online Notarization (RON), it’s important to choose notaries or services that are adept with the latest technology and comply with state laws governing electronic notarization.

5. Reputation and Reviews:

  • Check for testimonials, reviews, or references from previous clients. A reputable notary or signing service should have a track record of professionalism, punctuality, and reliability.

6. Compliance and Risk Management:

  • Ensure that the notary or signing service has a clear understanding of compliance requirements, particularly regarding privacy laws and the handling of sensitive information.

7. Availability and Coverage:

  • Consider the notary’s availability, including after-hours or weekend service, and their geographical coverage to ensure they can meet your scheduling and location needs.

8. Communication Skills:

  • Effective communication is key to managing notarization tasks smoothly. Choose notaries who are responsive, clear in their explanations, and capable of handling any questions or concerns from signers.

9. Professionalism and Equipment:

  • The notary should possess all necessary supplies and equipment, including a reliable stamp, journal, portable scanner, portable printer, and, if applicable, technology for IPEN (Tablet with a minimum 10” inch screen) & RON. Professional appearance and conduct are also important for maintaining the integrity of the transaction.
